Creation of the Master List of all Voice and Data Lines/Circuits              Back  

This is by far one of the most important documents your company should have whether you’re a small office or a large multi-location enterprise company!  This easy to read spreadsheet (and HIPAA compliant) document has been referred to by top employees of the FCC and PUC as “a must for every company.”  At your fingertips you’ll know what each voice and data line is and what it’s used for.  You’ll know the hunting sequence and the off group lines.  We’ll identify all telecom services you are paying for.  In addition, we have a proven method of disconnecting the unused lines and circuits. 

The Morrison Group will also provide you with all circuit ID’s from the LEC for Hi-Cap T-1’s, Frame Relay and VPN’s.  The Morrison Group will also list the signaling, framing, line coding and DNIS digits.  By having this information at your fingertips, you’ll save valuable time when reporting or opening trouble tickets with the prospective carrier or LEC.  You’d be AMAZED that most businesses do not have this information at their disposal.   

This list will give management the edge over service issues as well as providing a great resource to monitor and maintain your telecom services.  It is our experience that 95% of all companies we have worked with did not have this type of list.  Not having this list is like having a dentist performing open heart surgery.

In our experience, physical inventory or demarcation surveys present one of the largest areas of cost savings and help identify erroneous billing, phone lines and secure reductions in expenses.   Businesses, especially hospitals, are notorious for ordering new phone lines and services, but never keep track of what they are used for or disconnecting unused phone services.  While many customers are trying to obtain a half-cent reduction on their cost per minute, we find 99% of all businesses do not have a complete physical inventory list of every voice and data line and any additional fee’s that may be tacked on the billing.

The Public Utilities Commission (PUC) and FCC urges you to have your phone bills audited every two years with good reason. We know the code

S1Q1X, 1FB, 9ZR, PSC, CHI, FX, RCF, Wirepro

WE KNOW THE CODE!  Do any of the above codes sound familiar?  Do you know what they are?  Very few people do.  The codes are written in USOC (Universal Service Order Code), creating a computerized report called a CSR (Customer Service Record), which in turn, is used by the phone company computer to create and translate the customer's monthly bill.  Ironically, the phone company (for their exclusive use) copyrights this unique billing language.  This language is not taught in schools, universities or accounting courses.  Accountants, lawyers, engineers and I.T. people do not have this complex coded information -- only the phone company, a few select professionals and our firm.

If only one item on the CSR is encoded incorrectly, this will result in overcharges going back to the first day of service.  One error alone can cost an average size business hundreds to thousands of dollars they do not owe!  One of the USOC codes listed above has an estimated recovery of $4,000 - $25,000 (the exact amount is determined by the age and size of the account).  

We will need the following from you to get started:

  • A listing of all of the current telephone billing account numbers, by vendor such as SBC, Bellsouth, Verizon, etcetera. 
  • Top page copies of all telecom invoices.  This includes local phone company, long distance phone companies, data provider or Hi-Cap T-1 billing.
  • Copies of any special pricing agreements or term agreements that you may have with any telecommunications vendor.
  • Any internal company lists that you may have of the phone lines that appear at various locations.  This is not mandatory, but could be helpful if available.
  • A network diagram, if available.
  • Endorsed and dated Audit agreement with Letter of Authority (LOA) copied onto your business letterhead.
